Review postal marketing choices when adding a supplier

Read the onboarding form before filling it in. Look for any wording about marketing, catalogs or promotional mail. Use the form's own labels to see which fields are required. Where the form says nothing, ask the supplier instead of guessing.

Go through the form one field at a time

  1. List each detail the form asks for, such as contact name, mailing address, phone, email and job role.
  2. Next to each detail, write the purpose the form gives. If it gives none, add that field to your questions for the supplier.
  3. Mark each field required or optional exactly as the form labels it. A field near the top is not automatically mandatory.
  4. Find any checkbox, sentence or link about promotional or catalog mail, and check whether it is already selected.
  5. Record the preference you chose and the address you entered, so you can compare them with the mail that arrives later.

Separate order contacts from advertising

Order paperwork and catalogs do not have to go to the same person or address. If the form lets you name a different contact for each, decide which one you want. If it does not, ask whether that choice exists. Check this supplier's own published policy or ask the supplier directly, because a general rule does not tell you how one company handles its mailing list.

Ask before the first order

If the form is unclear, email the supplier's listed contact before you fill in any optional fields. Keep the written reply in the vendor file. Then complete the form with the postal choice you confirmed.
