Trace mail after a workplace gift

After a gift through a workplace giving program, a charity may start mailing you directly. Ask the charity whether it holds your address and how it got it, and ask the program what it passed along.

How to trace and address workplace-gift mail

  1. Check the name on the piece to confirm which charity sent it. Workplace campaigns often support many organizations at once.
  2. Ask your employer's giving program or HR team what contact information, if any, was shared with the charity when your gift was processed.
  3. Call or email the charity's donor services team. Ask whether it has a record in your name, how that record was created, and how to stop appeal mailings.
  4. If the mailing label shows your name and address, photograph one ordinary appeal with the sender and full label visible for Junk Mail Magic. An authorized user should review the details and submit.

Platform and charity records

A program that handles your gift and a charity that receives it keep their own records. Some programs share donor details with charities, and some send funds without them, so a gift through a program does not prove the charity has your address. The two offices that can tell you are the program and the charity. If either confirms your address is on file, ask for removal through its stated process.

Ask both before requesting removal

Once you know which record produced the mailing, contact that organization's donor services team and ask it to update your mail preferences. Note the date and the name of the person you spoke with.
