Separate local and national charity mail

A local chapter and a national office may keep separate donor databases, so mail from each may need its own removal request. Use the return address on each piece to decide where to send the request.

How to handle mail from both chapter levels

  1. Compare the return address on each piece. A chapter and a national office can share a name but mail from different addresses.
  2. Contact each sender using the address or phone number on its own piece, and ask whether its list is shared with other chapters or the national office.
  3. If both confirm they share one list, a single removal request to either may be enough. Ask for that confirmation before relying on it.

Why chapters may keep independent records

Charities are organized differently. Some national organizations run one donor database that local chapters use. Others let each chapter keep its own records. A chapter may have added your address from a neighborhood event long before any national contact. Unless a representative tells you the lists are combined, treat each return address as a separate sender.

Request confirmation from each sender

After you contact each organization, ask it to confirm by email or letter that your address has been removed. Keep those messages in case mailings continue.
