Sort HVAC offers from your maintenance agreement

First write down who services your heating and cooling under your agreement. Then check each piece of HVAC mail against that name. Reminders from your provider about the agreement go in one group. Offers from other contractors, equipment sellers and plan marketers go in another. Keep the worksheet below to yourself, and keep your agreement and invoices private.

Fill in the worksheet

  1. Copy your provider's name and phone number from the agreement itself.
  2. For each HVAC mailing, record the sender, what it offers and whether it mentions your agreement.
  3. Flag any piece that asks for payment or account details. Check it against your own records before you act, because a bill-like mailer can come from a company you never hired.
  4. Mark the senders that are clearly advertising and are not your provider.
  5. For each advertiser you want to stop, write down the contact route from its own website.

Reminders versus sales

A reminder about a tune-up you already agreed to is service communication. A suggestion to buy an additional service may be advertising even when it comes from your provider. A coupon for a new system from a company you have never used is advertising. One company can send both kinds under the same name, so judge each piece by its contents, not its envelope.

Act on the advertisers only

Send each marked advertiser a short request to stop printed sales mail. Leave your provider out unless one of its promotional campaigns is the problem. If it is, name that campaign and say you still want agreement reminders.
