Stop promotional mail to a dissolved club

A former officer who still has authority over a dissolved club's records can ask each advertiser to stop promotional mail addressed to the club. First check the stack for bills and legal notices. Those need a response, and a stop-mail request does not settle them.

Separate old marketing from open obligations

  1. Set aside anything that mentions an amount due, a deadline, a tax matter, a lease or a legal filing. Give these to whoever is closing out the club's affairs.
  2. What remains is mostly catalogs, discount flyers and promotions for services the club once used. These are the pieces to write about.
  3. Confirm who is authorized to speak for the club's records, such as an officer named in the dissolution paperwork. If that is unclear, ask the remaining records holder before writing.
  4. Write to each advertiser and ask it to stop promotional mail to the club's name and address. Say that the club has dissolved and that you are not asking to change any payment or contract.

Offers that imitate bills

The FTC warns that businesses and nonprofits receive fake invoices, directory listing offers and mail that impersonates government agencies. It advises checking invoices against approved purchase records before paying. If a bill-like piece sent to the club matches nothing in its records, do not pay it. Ask the person handling the club's closing to review it before you throw it away or treat it as advertising.
