Move organization advertising away from a former officer’s home

Send each sender a short request. Name the organization and the old officer mailing record, and ask the sender to stop sending the group's advertising to that home. Ask whether it can switch to the current address. The request should come from an authorized officer, or from the former officer with that officer's permission.

Prepare one request per sender

  1. Pull out only the advertising addressed to the organization or the officer role. Leave the former officer's personal mail out of it.
  2. Note the sender, the organization name as printed and any role title on the label.
  3. Look up the sender's contact details through a source you trust, and ask whether it can change or remove an organization mailing record.
  4. Ask the sender to stop the organization's advertising at the old home address and, if it can, to use the current organizational address.

Not a request about the officer's own mail

The request should say clearly that it covers the organization's mailing record only. It doesn't speak for the former officer's own marketing mail, and it isn't a sign that anyone stopped other mail at that address.

Sample request to a sender

Example for your own use. Replace the bracketed details and review what you share.

Please stop sending advertising for [organization name as printed] to [former officer address]. This is an outdated officer mailing record. If your records allow it, please use [current organizational address]. I am [name, role], authorized to handle the organization's advertising records. This request covers only this organization's postal advertising.

Find where the old address still appears

Check the places the organization controls where the old address might still be listed, such as its website, vendor accounts and event listings. Change those that current officers have authority to update.
