Record a request separately from confirmation

Sending a removal request and hearing back from the sender are two different events. Treating them as one causes confusion when mail keeps arriving, so track each stage on its own.

Use distinct stages in your log

  1. Add a Status column with four values: Drafted, Sent, Acknowledged, and Confirmed Stopped. Change the value only when you have direct evidence for that stage.
  2. Mark Sent after you have submitted a form, mailed a letter, or received a service email showing your request was processed and sent to the mailer.
  3. Mark Acknowledged only when the sender replies to you directly. An automated form receipt shows that your submission arrived, not that the sender will act on it.
  4. Mark Confirmed Stopped after no mail has arrived from that sender for an observation period you chose in advance, such as three months.

Why the distinction matters

A sent request does not prove the sender removed your address. The sender controls its own mailing records and its own response time. Some senders acknowledge quickly and still mail you from a print run already in production. Others never reply and simply stop. Separate stages keep your log tied to what you observed, which also makes it easier to decide whether a follow-up is worth sending.

Review your existing entries

Look through the requests you have already logged and check whether each status rests on evidence or on assumption. Correcting a few entries now makes the log more useful when you need to decide whether to contact a sender again.
