Reduce paper follow-up after requesting refinance quotes

Sort the mail by sender first. A quote site and each lender you heard from can be separate contacts, so a request to one may not reach the others. A short worksheet helps here. List which companies you contacted yourself, which ones sent advertising afterward, and where each request went.

Build the sender worksheet

  1. List every company from your quote shopping in two groups: the ones you contacted yourself and the ones that first wrote to you after your quote request.
  2. Match each piece of advertising to a row using the company name printed on it. A logo or layout is not enough to identify the sender.
  3. Mark any piece without a clear company name as unknown. Do not guess which lender or site sent it.
  4. For each named sender, find a contact route on its official website and ask it to stop mailed advertising to your address.
  5. Log the date and route beside each row.

Keep advertising apart from your actual loan mail

This worksheet covers promotional mail only. If you have an application in progress or an existing loan with one of these companies, say in your message that you are asking about advertising alone. Keep closing documents and actual loan notices. The CFPB advises homeowners to retain key closing and loan documents.

A promotion from a lender does not prove that the quote site shared your address. Mail from the quote site does not prove that a lender did either. Leave the source column blank unless a sender tells you where it got your address. This page does not recommend any lender or loan product.

Private worksheet fields

Example for your own use. Replace the bracketed details and review what you share.

Sender name: [company name as printed] How I know them: [contacted directly / wrote after my quote request / unknown] Piece received: [date and short description] Mailing name and address as printed: [name and address] Contact route used: [website form, email or mailing address] Date request sent: [date] Reply received: [yes or no, and what it said] Timing the sender gave, if any: [timing or none given] Next step: [follow up, add a new row, or no action]

Use the worksheet for each new piece

When a new piece arrives, find its sender on the sheet. If you already sent that sender a request, reply on the same thread and describe the new piece. If the name is new, add a row and send a separate request. For senders who never replied, follow up based on any timing that sender gave you.
