Ask about annual memorial fundraising mail
If a charity sends an appeal each year around a memorial date, write to it directly. Ask it to stop the annual memorial solicitations and to keep its record of the gift. Name the gift in the request so the charity does not read it as a request to erase that record.
Frame a narrow request
- Pull one anniversary appeal. Note the charity name, the name and address printed on it, and any donor or reference number. Keep the envelope if the label is on it.
- Find the charity's contact details on your gift receipt or its official website instead of using a number printed only on the mailer.
- Describe the memorial gift briefly: roughly when it was made and in whose memory. Leave out bank or card details.
- Ask for two separate things: stop the annual memorial solicitations by mail, and keep the gift record on file. If you still want one kind of mail, such as a newsletter, name it.
- Ask the charity to confirm what it changed. Save its reply with the date you wrote.
Name what stops and what stays
Naming the annual appeal is more useful than an unexplained “remove me.” It gives the charity a specific mailing to locate. Ask it to confirm whether the change covers only that campaign or all fundraising appeals.
Keep the gift acknowledgment in your private records. A promotional preference does not settle an estate matter or decide what records the charity must retain. If the appeal is addressed to the person who died, use the authorized household or estate contact for that request.

Before you send it
Choose between a full stop and keeping one type of contact, then fill in the matching line in the sample. If a later appeal arrives under a different spelling of the name or address, send the charity both versions and the reference number from your first request.
