Reduce broker prospect mail for a business

To cut broker prospect mail, send the broker a short written request that covers only sales advertisements and says current-policy communications should continue. The person authorized to speak for the business should send it, using a contact route you have confirmed for that broker.

Draft a request that leaves servicing alone

  1. Treat apparent renewals, certificates, bills and coverage changes as possible policy correspondence until checked against your records. A quote or switching invitation may be advertising, but verify anything that could concern current coverage before sending a marketing request.
  2. Copy the broker name and the business name and address exactly as printed on the advertisement.
  3. Confirm the broker's contact page or office address through a source you trust rather than relying on the phone number or link printed on the mailer.
  4. Write one sentence asking to stop printed prospect advertisements and one sentence asking that current-policy communications continue unchanged.
  5. Ask whether the broker keeps a separate preference for mailed marketing, and read what it covers before assuming email and paper are handled together.

Why the carve-out sentence matters

A request to stop all mail is ambiguous when the same broker also services your coverage. Naming the policy communications you want to keep tells the broker exactly what is out of scope.

Some sales pieces look like notices. Before acting on one, compare it with your actual policy documents and approved records, which is the check the FTC recommends for anything that looks like a bill.

Keep payroll records, client files, invoices and legal notices out of anything you photograph or forward for this marketing question.

Assign the follow-up

Name one person who will compare later broker mail against the request and sort it as servicing or sales. If a policy notice you expect stops arriving, raise it with the broker as a policy question, separate from the advertising request.
