Shorten a mail-removal request for a small form
Some contact forms cap messages at a few hundred characters. A mail-removal request still has to name the sender, your address, and what you want done. Everything else can wait.
What to include and what to leave out
- Start with the request itself, such as "Please remove this address from your postal mailing list," so it survives if the form cuts your text off.
- Add the full address exactly as printed on the label, including any apartment or unit number. The sender matches on that text, so do not shorten it.
- Give one way to reach you, either an email address or a phone number, so the sender can confirm the removal.
- Leave out your reasons, legal references, and any request for written confirmation. Add those in a follow-up if the sender asks.
If the message is still too long
Find out whether the limit covers the subject line, the body, or both, and move text accordingly. If the form allows an attachment, put the full address there. Keep the unit number even when space is tight, because it may be the detail that separates your record from a neighbor's at the same street number.
Follow up with what you cut
If a confirmation email arrives with a reply address, send the details you had to leave out, including the sender name and the label address. That gives the sender what it needs to find your record.
