Coordinate a dependent’s marketing requests at two addresses

Keep a grid with one row per sender and one column per address, and fill it in with the recipient's approval. A sender can only match a request to a record it can find, so each request should give the name and address exactly as printed on the piece that sender mailed.

Build the address grid

  1. Ask the recipient which addresses to include and who may help. Copy both addresses exactly as they appear on the mail, including any apartment, room or c/o line.
  2. Go through the advertising at the first address and list each sender once. Copy the name line as printed, because spelling and titles can differ from one mailing to another.
  3. Do the same at the second address. If a sender appears at both, record each address separately rather than merging them.
  4. Ask the recipient which senders they still want, and where. They may want a seed catalog at home and nothing from that company at the care address.
  5. For each request, use the name and address printed on that sender's piece, and say which address the request covers.

Forwarding is a separate matter

A forwarding arrangement moves mail between addresses. It does not stop advertising, and a sender may keep mailing whatever address is in its own file. A request about the home address may leave mail to the care address unchanged, so ask the sender whether it covers one address or both.

Private address grid

Example for your own use. Replace the bracketed details and review what you share.

Recipient approved this list: [yes / no, date] Address A: [as printed] Address B: [as printed] Sender: [name] Name line on mail: [as printed] Seen at: [A / B / both] Recipient wants: [keep at A / keep at B / stop at both] Request sent: [date, address named] Sender's stated timeline: [if given]

Check new mail against the grid

When new advertising arrives, check it against the grid. A sender or address not yet listed gets a new row once the recipient says what they want. If mail keeps coming from a sender you already contacted, use the date and address from the earlier entry when you write again. If that sender gave a timeline, wait until it has passed.
