Close sales follow-up for an abandoned business project

Write to the vendor's sales contact about the one shelved quote. Name the quote, give its status and ask the vendor to stop printed sales follow-up for it. List any active orders with the same supplier so the vendor knows the rest of your account stays as it is.

Draft a narrow closeout

  1. Find the quote reference, date and sales contact in your own records or on the quote itself.
  2. State the status accurately: shelved, cancelled or on hold with no current plan. If the project might come back, do not call it cancelled.
  3. List unrelated work with this supplier that must continue, by order number or description.
  4. Ask only for the specific change: stop postal sales follow-up tied to this quote.
  5. Send the message to the contact named on the quote and save a copy in the project file.

Keep the request narrow

You may not know how the vendor stores prospect records or whether they are separate from active accounts. Ask what the vendor can change for this quote. A broad request to remove the business from all mail could be read more widely than you intended. If the project restarts, send a new message instead of relying on the old thread.

Check the next piece that arrives

When more mail comes from this vendor, compare the sender and any reference number with your closeout note. If it cites the old quote, reply on the same thread and attach your earlier request. If it concerns an active order, handle it as normal order correspondence.
