Check a deed-registration service offer
A letter offering to register or copy your deed may come from a private company rather than the office that keeps the record. Contact your county recorder yourself and ask whether you need to do anything and how to get a copy. Decide about the paid offer after you have the recorder's answer.
Ask the recorder directly
- Note the company name and what the letter says it will do. Check whether the letter says it is a private service or is designed to look like a government notice.
- Find your county recorder's office yourself, either through a search you start or a county website you already know. Do not use the web address or phone number on the letter.
- Ask the recorder whether you need to take any action on your deed after the purchase. Also ask how to request a copy and whether there is a charge.
- Compare the recorder's answer with the offer. If the letter charges for something the recorder says you do not need, or offers something you can request from the recorder yourself, write that down.
- Keep your closing documents in a safe place.
How the letter can get your details right
Recorded purchase information can become public, and advertisers may use it in mailings. A company can therefore print your name, address and purchase details correctly without having any official role.
The FTC notes that official-looking property notices and check-like inserts may be advertising for unrelated services. This does not make every company that sends one fraudulent. Some sell a real service that you may not need or may not want at their price.

Note the recorder's answer
Write down the date and what the recorder told you. Then choose whether to decline, pay, or request a copy from the recorder. If you decline, you can also ask the company in writing to stop sending advertising mail.
